Clinton Community College is seeking a Records and Registration Specialist.

Position Summary:

Primary contact for the Enrollment Department, providing information and registration policies and procedures delivering a high level of customer service to students, faculty, staff and external customers. Attention to detail is at a high caliber. Facilitates the registration process. Maintains and updates credit records. Works as back-up for processing transcripts when needed. Performs other office administrative duties.

Minimum Qualifications:

An associate degree is required, bachelor’s degree is preferred plus extensive computer experience. Must be a self-starter, demonstrate ability to handle multiple tasks and manage priorities and confidential information in a complex setting. Must possess excellent written and verbal communication and interpersonal skills.  Ability to work effectively with a diverse academic staff and student population as well as external constituents. Excellent data entry skills, Microsoft Excel and Microsoft Word required.  Knowledge of or ability to quickly master EICC software systems, including Ellucian Colleague, important. Must be able to work flexible hours including occasional evenings and Saturdays.



Typical Duties and Responsibilities:

  1. Delivers outstanding customer service to all internal and external customers contacting the campus. 
  2. First point of contact for the Registrar’s Office not limited to greeting visitors, providing information relating to all aspects of registration and records, along with assisting them to the appropriate offices/individuals and scheduling appointments as needed. 
  3. Prepares and maintains accuracy of credit student records and files, verifies data regarding student records, records of transactions, grades, academic status, registration status, and EICC transfer coursework to include printing and distribution of student transcripts. 
  4. Prepares and provides documentation for audits and compliance surveys.
  5. Assists with FERPA training and ensures that FERPA guidelines are followed.
  6. Adheres and enforces all District policies and procedures.
  7. Responsible for providing DocuWare training for all staff and archiving all student records, i.e. registration materials, grade sheets, grade books, catalogs, credit schedules, etc., along with all records on microfilm and fiche records.  
  8. Monitors and trains all work-study students in Registrar’s Office.
  9. Reviews all documents received from other college personnel, i.e. registrations, Record Information Update forms, etc. to ensure accuracy.
  10. Ensures that all pre-requisites for high school population registrations are met, i.e. concurrent, CCIR, and Academy along with processing their registrations.   
  11. Loads, verifies, and updates credit course information on computer for registration purposes.
  12. Notifies all appropriate staff of document changes made to records, i.e. class schedule, student registrations.
  13. Engages in ongoing professional development to keep current with EICC programs, services, and procedures.
  14. Serves on college and/or EICC committees at the direction of the Registrar. 
  15. Assists the Records and Registration office staff with projects, assignments, events, and information collection as needed.
  16. Ensures quality service is provided to meet or exceed the expectations of internal and external customers.
  17. Performs all other duties as assigned.  


Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.
